We configure Zoho CRM with custom modules for Jobs (separate from Deals). A Deal represents the sales opportunity. When it's won, a Job record is created with site address, scope of work, scheduled dates, and assigned crew. This separation keeps your pipeline clean while tracking active work.
Zoho Creator handles what CRM can't: mobile job sheets. Field teams open a Creator app on their phone, select the job, complete a checklist (safety inspection, work performed, materials used, photos), and submit. The office sees completion status immediately.
For quoting, we build Creator forms or CRM quote templates that pull material and labour rates from lookup tables. A plumber doesn't want to calculate markups on every quote, the system should do it based on predefined rate cards.
Zoho Books handles progress invoicing. For larger jobs, invoice at milestones: 30% on commencement, 40% at practical completion, 30% on final inspection. Configure payment terms and automated reminders, Australian trade businesses lose significant cash flow to late payments.
The integration flow: CRM Deal won → Job created → Creator job sheet completed → Books invoice generated. Zoho Flow or Deluge functions connect these steps. The goal is zero manual data re-entry between systems.
